Many companies or firms are adopting Microsoft Teams as their primary app for digital collaboration and virtual meetings.MS Teams templates is getting an increased popularity across the digital world. Users have been facilitated by team creation and the around all the repetitive processes, which boosts the productivity of Microsoft Team. It also offers all the required tools, which are ready at place.
In this blog post, we are going to elaborate how you can set up and customize Microsoft Teams and templates:

1. Create a team with templates
Below are the steps to create team with templates:
- Using Microsoft teams, you can create a team for a specific schedule or purpose the existing team templates, which come with the relevant applications and channels.
- To do this, first you need select Teams>Join or create a team>Create team.
- Now, choose one Team template on the basis of Team scenario, which you prefer.
- You will find each Team template with added channels and application, which helps you to enhance your selected scenario or industry.
- In addition, you can select the option “from scratch” if you want to build a Team from scratch. Alternatively, you can select from a group or team to build one from an existing group of Microsoft 365.
- Now, select the privacy level: Private or Public.
- Here, you can add the details about the Team such as a team’s name and it’s description.
- If you have selected a team template, edit the channel names for further customization of your team.
- Now, select Create.
After a few minutes, your team will be created.
2. Work with external guests
Over here are some simple steps, which you can follow to work with external guests:
Guests have the similar capabilities to team members and also they can participate in the meetings, conversations, and work on the shared documents. To add the guests:
- In a MS Teams, select More options>Add member.
- Now, enter the guest’s email, which you want to invite. You can add multiple guests in Teams as you need.
- If needed, it is recommended to change their display names.
- When you are all set, select Add and an email will be sent to the guests as the invitation, which they need to accept to start.
- A guest will be having the label “Guest” which is attached to their name in MS Teams. In addition, you can check the top of the channel to see how many guests are there in the Teams.
- To share files, you can use the “Files tab” and folders because the document links will not be working with the guests.
Note: Before the guests can join a team, the admin must enable guest access in MS Teams. If you cannot add a guest, you may check with your admin for further details.
3. Manage team settings
As an owner of Team, you can add and remove team members and guests and also manage team and channel settings. You can also archive a team, which is no longer in use.
Follow the below-mentioned steps to add or remove team members
Go to the team name and select more options in the teams list. Now got to More options button>Manage team.
You can manage the following member settings here:
- If you want to remove someone form team, select X to remove them.
- To change or update someone’s role, select the “Dropdown arrow” and select a role for example- Owner or Member.
To add someone, select “Add member.” You can add member from within or outside your organization:
- To add someone in your organization, type in the name of whom you want to add. Then, select Add.
- To add a guest, type in their email ID then select the pencil icon to add display name for guests. Then, select
Manage channels
- Go to the team name then select More options button>Manage team.
In the Channels tab, you can:
- Select Add channel to add new channels.
- You can make the channels visible for team members.
Change team settings
- Go to the team name then select More options button > Manage team.
From there, you can access your team Settings tab, which lets you:
- Add modify or change the team picture.
- Set permissions for members (like allowing them to create, update, and delete channels/tabs).
- Enable @team or @[team name] mentions.
- Enable @channel or @[channel name] mentions.
- Set permissions for your guests.
- Enable team members to send Emoji, GIFs, and stickers.
Manage and add Apps
- Go to the team name then select More options button>Manage team:
- In the Apps tab, you can install and manage the allocation, which your team uses.
Archive a team
- To archive a team, select Manage teams icon Settings button, which is available at the bottom of the teams list.
- Now, select more options button on the right side of the team name.
Now, you have the option to do the followings:
- Delete the team: You can permanently delete it from your teams list along with all the hosted channels, chats, files, and Microsoft 365 group for the team.
- Archive the team by marking it as inactive while keeping the team’s mailbox, site, and important files.
- Restore the team to restore any archived team.
